Triple C Training Camp – Terms & Conditions & Parental Disclosure

Please read this document carefully in full. It sets out important information about the risks associated with participation in the training camp, the responsibilities of parents/guardians, and the policies that apply to registration, conduct, medical matters, media use, and refunds.

1. Participation & Permission

I, the undersigned parent/guardian, give my permission for my child/ward to participate in the Triple C Academy Training Camp ("the Camp").

I acknowledge the nature of rugby league as a contact sport. While this Camp does not include tackling, I understand that participants will be involved in physical, skill-based drills that involve bodies in motion in proximity to and in contact with other participants (e.g. passing, evasion, agility, and contact-avoidance drills), and that this carries an inherent risk of physical contact and injury.

I understand that participation is voluntary and that my child takes part at their own (and my) informed risk, as detailed further in Section 5 (Assumption of Risk and Liability Waiver).

2. Registration & Payment

Spaces in the Camp are limited and are allocated on a first come, first registered and payment secured basis.

A place in the Camp is only considered confirmed once full payment (or an agreed deposit, where offered) has been received by the organisers. Submitting a registration form alone does not guarantee a place.

The organisers reserve the right to release a provisionally held place if payment is not received within the specified payment window.

3. Medical Information & Pre-Existing Conditions

I confirm that I have disclosed, in the registration/medical form, any pre-existing medical conditions, allergies, injuries, medications, or other health matters relevant to my child's safe participation in physical activity.

I understand that I must notify the Camp organisers of any changes to my child's medical or health status prior to the commencement of the Camp.

I understand that failure to disclose relevant medical information may affect the organisers' ability to respond appropriately in an emergency, and I accept responsibility for ensuring all such information provided is complete and accurate.

4. Consent for Emergency Medical Treatment

I consent to Camp staff and/or first aid/medical personnel administering first aid, and to seeking emergency medical treatment (including ambulance transport to hospital) for my child, should Camp staff reasonably consider it necessary.

I understand that reasonable attempts will be made to contact me or the emergency contact listed on the registration form as soon as practicable, but that this consent allows staff to act in my child's best interest without delay where a medical emergency requires immediate action.

I agree to be responsible for any costs associated with emergency medical treatment or ambulance transport not covered by my private health insurance or applicable government health scheme.

5. Assumption of Risk and Liability Waiver

I acknowledge that participation in rugby league-based training, drills, and physical activity carries an inherent risk of injury, including but not limited to sprains, strains, bruising, fractures, and, though rare, more serious injury.

I acknowledge that the Camp organisers will implement correct warm-up procedures and age-appropriate, skill-based drills designed to maximise participant benefit while minimising risk, but that no amount of precaution can eliminate the risk of injury entirely.

The Camp, its organisers, coaching staff, volunteers, and the venue/facility owner or operator do not accept liability for injury, loss, or damage sustained during participation in the Camp, except where such injury, loss, or damage is caused by the proven negligence of the organisers, coaching staff, or venue.

I release the organisers, coaches, and venue from any liability for injury or loss incurred during the Camp, except in cases of proven negligence.

6. Code of Conduct

All participants, parents, and guardians are expected to conduct themselves respectfully at all times. This helps create a safe, positive, and inclusive environment for all children involved.

Participants are expected to:

  • Follow the reasonable instructions of coaches and Camp staff.
  • Treat other participants, coaches, and staff with respect, regardless of gender, ability, or background.
  • Refrain from bullying, foul language, or unsafe behaviour.

Parents/guardians are expected to:

  • Engage respectfully with coaches, staff, and other families.
  • Support a positive sideline environment, free from abusive or aggressive conduct toward staff, officials, or children.
  • Adhere to drop-off and pick-up procedures (see Section 9).

The organisers reserve the right to ask a participant or parent/guardian to leave the Camp, without refund, if behaviour is deemed to seriously breach this Code of Conduct.

7. Photography and Media Consent

I understand that photographs and/or video footage may be taken of participants during the Camp for promotional, educational, and social media purposes (e.g. website, brochures, social media, coaching resources).

I give my consent for images/footage of my child to be used for these purposes, unless I opt out in writing (see below).

Opt-out: I understand that if I do not wish my child to be photographed or filmed, I may indicate this by notifying the organisers in writing prior to the Camp, and reasonable steps will be taken to exclude my child from promotional images.

8. Insurance and Responsibility

The Camp is covered by public liability insurance.

This insurance does not cover personal accident, injury, or loss of income and does not replace the need for participants to hold their own private health or personal accident insurance, which parents/guardians are encouraged to arrange independently.

9. Conditions for Refund

Illness, injury, or withdrawal

  • Cancellations or no-shows are non-refundable, except where withdrawal is due to injury or ill-health.
  • Where a refund is requested due to injury or ill-health, the organisers may request an official medical certificate from a medically qualified practitioner before processing the refund.

Camp cancellation by the organisers

  • If the Camp is cancelled in its entirety by the organisers due to unforeseen circumstances (e.g. venue unavailability, extreme weather, or other circumstances beyond the organisers' control), a full refund will be provided to all registered participants.

Weather-affected sessions

  • If training time is lost during the Camp due to storms or other adverse weather, the organisers will endeavour to make up this time within the remaining sessions of the Camp.
  • If lost time cannot reasonably be made up within the Camp, a 10% discount will be credited toward the participant's registration for a future camp, in lieu of a cash refund.

10. Drop-off and Pick-up Supervision Policy

It is the responsibility of the parent/guardian to ensure the safe drop-off and pick-up of their child at the designated Camp location.

Supervision by Camp staff is provided during the following window: the 45-minute training session, plus 15 minutes prior to and 15 minutes following each session. Parents/guardians should ensure their child is dropped off no earlier than 15 minutes before, and collected no later than 15 minutes after, each session.

The organisers accept no responsibility for the supervision of children outside of these designated times.

11. Privacy Statement

Personal information collected as part of registration (including participant and emergency contact details, and relevant medical information) will be used solely for the purposes of Camp registration, emergency contact, and the safe and effective delivery of the Camp.

This information will be handled in accordance with the Australian Privacy Principles (APPs) under the Privacy Act 1988 (Cth), and will not be shared with third parties except where necessary for emergency medical treatment or as required by law.

Personal information will be securely stored and retained only for as long as reasonably necessary for the purposes outlined above.
